At Easy to Inspect, we respect your need for online privacy and protect any personal information that you may share with us, in an appropriate manner. Our practice as regards use of your personal information is as set forth below. As a condition to use of Easy to Inspect, you consent to the terms of the privacy policy. This policy may be updated from time to time. In the event of a material change, we shall notify you via the application or by means of a prominent notice on the website.

Easy to Inspect offers a mobile app used for HSSEQ & Food safety inspection purposes to be used on phones and tablets operated by Android and iOS.

Upon using our mobile App, the user must visit our website and create an (trial) account. Data stored are the company name and address, company phone numbers, company VAT number, user name, user email address and a password. The mobile app can be used by entering the email address and the password. Only this personal data is exchanged when using the App.

When an inspection is completed, the result must be uploaded to the web application of Easy to Inspect to create an inspection report and/or manage actions. Inspection result data exchanged via the mobile app might involve additional personal data, such as names of representatives present during the inspection and a digital signature, depending on the set-up of the checklists created by the account administrator. In case the client includes privacy sensitive data in inspection reports, this data is also exchanged via the mobile app and archived in our database.

Easy to Inspect considers the personal data that is exchanged via the mobile app and stored in our database required to operate the application and to be as low risk.

The Easy to Inspect mobile App does not exchange data with other applications than our own web application. Data exchange protocols are established and security provisions taken regarding data upload. Inspection result downloads with the app are not possible.

We use the personal data stored in our web application only for maintaining the relation with the customer and informing individual users about maintenance, support and new release issues. We share data with our sub-processors for support and development purposes. We don’t disclose, share or sell any personal data to third parties. Exceptions could occur in case of disclosure requirements by authorities.

The inspection results and action data stored in our database are not used by Easy to Inspect for any purpose.

Furthermore, we record log and analyse the use of our App for improvement and development purposes. This involves only metadata.

We have implemented measures for access restriction of client account details as well as client inspection results by Easy to Inspect support employees.

The retention time of account details, of inspection reports and action data is set until the end of the subscription with an additional period of 90 days. 90 days after the end of the subscription, data will be deleted from our database.
